Occasional Care Conditions
Help us run a safe and welcoming care service by following our guidelines.
- To attend you must be a Gym & Swim Member or a Swimming Lessons responsible parent/guardian whilst a Swimming Lessons student is in the pool.
- Each child must be enrolled prior to attending. Bookings are also essential to attend sessions. See below for the enrolment form and enrolment and booking information. Please see below for bookings and enrolment.
- Please ensure you read and abide by the information provided in the Occasional Care Family Handbook. Please see bookings and enrolments below.
- Do not bring your child if they are unwell
- Sign in when you arrive, and out when you leave
- Ensure you bring all the things your child will need for the session
- Label all your child's belongings
- Please be kind and respectful to our staff. Their focus is to look after and care for your little ones.
Cancellation Policy (excluding medical)
- Cancellations made no later than 12-hours before your booking will result in a n Occasional Care product token being added to your online customer account.
- Occasional Care product tokens can be found by navigating to ‘My Account’ and then 'My purchases'.
- Bookings cannot be cancelled after your booking and bookings cancelled less than 30-minutes prior are not allocated an Occasional Care product token
- Occasional Care product tokens expire after one-year.
Cancellation Policy (for medical reasons)
- With submission of a medical certificate, a cancellation will be processed and an Occasional Care product token will be given.
- Prior notification is preferred, but not required. Please submit your medical certificate within seven-days following your missed session.
- Occasional Care product tokens can be found by navigating to ‘My Account’ and then 'My purchases'.
- Occasional Care product tokens expire after one-year of purchase.
The Occasional Care program is open to members seeking supervised care for their children whilst you enjoy using the facilities.
Children are supervised by qualified carers in our Occasional Care room, an interactive space equipped with games and toys. We provide children with the opportunity to socialise in a family or multi-age setting, where they can explore new experiences in a stimulating and caring environment. We welcome children from six weeks through their preschool years.

Access to Occasional Care is for children of Gym & Swim membership holders. A 10 session pass (per child) is available from the Front Desk for $25. $3 will be deducted per child, per session. |

Enrolment, Bookings and Cancellations
Enrolment
For each child you wish to enrol in our Occasional Care service, you need to:
- Fill out the enrolment form available at the front desk or download here
- Provide an original birth certificate, Immunisation History Statement, and other supporting documents (for example, a Health Care Card or anaphylaxis management plan) where necessary.
- Read the Occasional Care Family Handbook and sign the acknowledgement of policies and procedures form on the last page. Available at the front desk or download here
- Please bring these forms into the Centre.
Bookings
Once enrolled, you can make a booking:
- Over the phone during Occasional Care hours (see times above) by calling the centre on (08) 8198 0198 and following the prompts for Occasional Care. For phone bookings outside of Occasional Care operating hours, please leave a message on the Occasional Care extension and our staff will call you as soon as possible.
- In person bookings outside of Occasional Care operating hours (see times above), will be available at Frontline. Please speak to a Frontline staff member who will record your booking in the register.
Bookings can be made up to 72-hours in advance. Bookings are essential and can be made on a casual basis.
Cancellations
If possible, please give us 12 hours notice of cancellations. Where that's not possible, please let us know by 7.30am on the day of your booked session.

What to Bring
Bring all the things your child will need during their care. Please ensure all items are clearly labelled with your child's name. If your child is on medication, please hand this directly to staff when you arrive.
Please note that if you or your child cannot use our hand sanitiser, please bring your own to use.
Infants and toddlers
- Bottle (with expressed milk, pre-made formula or cow's milk as required)
- Fruit snack - No apples or grapes
- Water bottle or sippy cup
- Dummy in sealed container, if required
- Nappies, wipes and plastic bags
- Change of clothes
- Sun-safe hat - we recommend the legionnaire style (brim at the front, flap at the back)
- Sunscreen
- Comfort item (soft toy or blanket), if required
- Sleeping sheet set or blanket for nap time, if required
Older children
- Fruit snack - No apples or grapes
- Water bottle
- Change of clothes (some types of play may be messy)
- Extra pairs of underwear, especially if toilet training
- Sun-safe hat
- Sunscreen
Do NOT bring
- Fizzy drinks, lollies or chocolates
- Nuts or Nutella - we have a nut-free policy to avoid anaphylaxis
- Toys - unless they are comfort items. If you bring toys, we'll remove them and give them to you when you collect your child
- Pets

How to create an account, log in and book
First time online portal users
All current Gym & Swim Members and Swimming Lessons who have provided us an email will have an online customer portal account. To finish setting up your account you will need to create a password
How to create a password
- Visit the online customer portal
- Select 'Forgot password'. A new page will load
- Type in your email
- Select 'Submit'
- If you have an account, you will receive a email to reset your password.
- If you do not have an account, a message will load stating 'Email address not found'.
- If your email address was not found this means there is no associated account to the email you entered. Existing members should contact the Centre to check their email address, if this occurs.
How to book
If the child is already in Swimming Lessons, or if you have already added the child to your online customer portal account, please skip to step 2.
- Add a child
- Navigate to 'My Accounts'
- Navigate to 'Friends and family'
- Select 'Add family member'
- Select 'Casual bookings'
- Select 'Next'
- Select 'Create a Free Guest Account'
- Select 'Next'
- Complete the child's details
- Select 'Next'
- Book
- Navigate to 'Book'
- Navigate to 'Aqua Sensory / Occasional Care'
- From the 'Facility Type' drop-down, select either 'Occasional Care - babies' or 'Occasional Care - preschool
- Select the date you are interested in
- Select 'book now' in the time you are interested in
- In the pop-up window select the child you are looking to book.
